Assist with updating staff information in the human resources information system (Workday). Maintain accurate and up-to-date records of staff’s employment tenure and issuing letters of employment confirmation to staff for various purposes (e.g., banking, business trip, reference).
Manage employee working schedules and assist employees with leave/timesheet submissions, corrections, and reconciliations to ensure accurate records.
Monitor the services time of all staff members to inform the Payroll & Tax compliance team of long service payments on a timely basis and the Organization Development team for long service award ceremony. Issue long service award letters to relevant staff timely and accurately.
Support HR team in ad-hoc operational projects, providing proactive and timely project support and coordination to all members of the projects team.
Organise and coordinate meetings and events for the projects team, including venue and catering arrangements, speaker and attendee liaison, preparation, and distribution of papers/materials.
Coordinate the dissemination and communication activities of projects to ensure all project news including progress updates and outcomes are shared with relevant stakeholders.
Effectively organise documents for signatures, stamps, and filing for HR team.
Support other team members in particular assigned tasks/ activities.
Provide backup support for other team members when required.
Requirements
Bachelor’s Degree in Business Administration, Human Resource Management or relevant field.
At least 3 years of experience in an administration support role providing quality customer services to diverse range of stakeholders in an international organization.
General understanding of the role of a modern HR department and HR best practice.
Excellent customer service skills with a professional and proactive approach.
High level of accuracy and confidentiality in all correspondence and administrative documents adhering to the University and departmental standards.
Strong organizational and planning skills, ability to set priorities and meet deadlines (sometimes under time constraints).
Excellent interpersonal and communication skills (verbal and written in English and Vietnamese).
Demonstrated effectiveness in understanding, applying and explaining complex policies, procedures and rules to staff.
Solutions focused, with a dynamic and vibrant approach to engaging with stakeholders.
Demonstrated ability to show initiative, think outside the box and creatively solve problems.
Advanced IT skills with knowledge of Microsoft Word, Excel and PowerPoint and other relevant business software. Experience and working knowledge of Workday is desirable.
Ability to display appropriate behaviours in line with the position and RMIT Values.
English Proficiency: Minimum requirement is IELTS (General) with a score of at least 6.0 (or equivalent).
