Responsibilities
Oversee and maintain the Fixed Asset Register.
Coordinate asset valuation activities, developing effective relationships with stakeholders across the University.
Provide support for any finance system upgrades and implementation.
In collaboration with the broader finance team, prepare the capital elements to support the Long-Term Financial Plan, Annual Budget, and Periodic Forecasts.
Provide expert technical knowledge in relation to the application of Australian Accounting Standards, and best practice approaches to accounting for assets.
Deliver month-end and year-end close procedures, including statutory reporting.
Drive continuous improvement in reporting, accounting and general ledger practices.
Be involved with a range of interesting projects as a subject matter expert.
Requirements
Hold post-graduate qualifications in accounting (CAANZ or CPA) or equivalent experience.
Have a strong background in financial accounting.
Have the ability to lead a small team, building their capability and delivering exceptional outcomes.
Demonstrate excellent communication and interpersonal skills, and an ability to develop effective relationships with diverse stakeholders.

Experience conducting audits, analysing data, reconciling discrepancies, and developing and implementing processes and procedures for asset management.
Ability to design and create processes related to IT Asset and Configuration Management.
Strong understanding of software licensing agreements, including their terms, conditions, and potential consequences of non-compliance.
Experience with remote software deployment principles and their licensing implications is desirable.
Experience managing the financial lifecycle of IT assets, from invoice review and approval to resolving discrepancies and reconciling accounts.
Strong project management skills, including the ability to manage deadlines, prioritise tasks, and work effectively both independently and as part of a team.

Responsibilities
Manage and oversee the asset management system as it relates to building information models for the purpose of Architectural Space Management and MEPF whole building life cycle management
Being in charge of coordination between facilities team and contract management team regarding setting up, reviewing KPIs for existing and new M&E service contracts
Conduct sample audit to make sure mandatory information and service records are captured in Archibus and recorded properly
In liaison with Senior Facilities Manager, Contract Services team to source new contractors for M&E maintenance work and to setup Master/Frame contracts to enhance contracts’ performance, management efficiency from Property and add values to the business
Coordinate between Vietnam and Melbourne to implement setting up and managing Archibus in Vietnam
Plan work to be accomplished and prepare preliminary budget information, as necessary
Evaluate and report on the performance of in-house maintenance team compared to contractual Service Level Agreements (SLAs) to monitor efficiency and effectiveness
Manage and coordinate the production of planned maintenance works orders from Archibus and issue works formally to each service provider
Provide input to the development of budgeting and ongoing planned property maintenance schedule
Develop reports and give presentations on asset usage, financial performance, operations, and maintenance
Develop and maintain asset registers, preventive maintenance schedules and procedures in the system
Manage and develop data of Central Asset Management System (CAMS) which will be used for Asset Life Cycle Report
Conduct CAMS audit for all campuses, validate audit data and Qlik reports
Ensure that lifecycle cost analysis is undertaken to support optimum decision making, specifically for renewal, upgrade and new maintenance programs
Develop and implement effective procedures for the ongoing monitoring of the condition of infrastructure assets
Update Property Central and provide reports and support to space planning exercise and capital projects
Oversee CAD as built drawings for all locations including regular site check to make sure floor plans of all buildings are updated
Review handover as-built document from project team: check and convert drawings follow Melbourne CAD standards; Verify Asset Capture Register List of each project
Requirements
A Bachelor’s degree in relevant field
More than 5 year work experience, of which at least one year in a facilities maintenance related organization
Architectural/ Engineering background/ Autocad proficient user is a plus
A good working knowledge and understanding of asset management principles and practices
A proactive approach to planning, coordination and delivery of work
Demonstrated aptitude to continuous improvement and a commitment to professional development
Good communication skills, ability to keep accurate records, proficiency with various computer software including Excel, Power Point and Word
