Responsibilities

Candidates with experience organizing and maintaining file and records systems, and those having experience with computerized information systems, are preferred.
Some bookkeeping training or experience is also desirable.

Working independently, provide personal support to students and act as the student’s main point of contact regarding meeting curricular requirements during the third and fourth years of their program of study.
Provide guidance, advice and oversight to students in their interactions with all national scheduling, documentation, and application platforms used by various residency programs for preparation, assignment, and Matching.
Develop a mastery of Visiting Student Learning Opportunities, Clinician Nexus, AMOpportunities, My Clinical Exchange and other platforms and their requirements as they pertain to students’ electronic application and scheduling of the required elective rotations, sub-internships and audition rotations.
With the goal of identifying at-risk students, monitor all faculty evaluations for patterns. Communicate potential problems to the Senior Associate Dean for Clinical Education and the student’s advisor. Follow through to resolution.
Understand the academic requirements and nuances of each individual student’s unique pathway to graduation and guide each student to meet their individual long-term progress toward degree completion and Match.
Provide concierge-type assistance to new, continuing and returning students’ questions with particular attention paid to building and maintaining relationships and ensuring student success under stressful conditions.
Proactively contact students by email or telephone when questions arise regarding scheduling strategies. This requires an in-depth personal knowledge of resources, and how best the student can access these resources in order to maximize their clinical rotation experience.
Meet with students via Zoom on evenings and weekends and function as part of a team by answering questions and providing advising options and opportunities.
Complete necessary supplemental documentation requested by clinical hosts; examples are, but are not limited to, immunization forms, application forms, letters of good standing, etc.
Input student evaluations received in non-electronic format as needed.
Assure accuracy of credits and grades as they appear on all documents. Assist students with obtaining clinical grades from rotation sites when appropriate.
Develop strategies to improve processes within the department for the benefit of students.
Be willing to create and deliver presentations to the class via PowerPoint or similar and act as part of a team to disseminate information either in person or on remote platforms such as Zoom.
Participate in committees as they pertain to job function and responsibilities.
Maintain accurate and complete records.
Attend conferences and clerkship caucus events both on and off campus.
Perform other related duties as assigned.
Requirements
Bachelor’s degree or equivalent experience, plus relevant customer service experience in a fast-paced, high-distraction, high acuity environment or a combination of education and experience from which comparable knowledge and skills are acquired.
At least two years of higher education administration or student services desirable.
