Position Summary
The TA Advisor is responsible for the provision of recruitment support and guidance from inception to completion, across various departments and schools at RMIT Vietnam. The Advisor will provide innovative recruitment solutions ensuring the effective and timely recruitment and onboarding of employees. To achieve this the Advisor will:
- Build and maintain robust client-focused relationships with hiring managers, to understand and be able to proactively plan and respond to business staffing needs
- Uphold RMIT Vietnam recruitment and selection policies and procedures, to ensure that recruitment ‘best practice’ is followed at all times.
- Coordinate recruitment, selection, work permit (where relevant) and onboarding processes from inception of the recruitment assignment to commencement date.

Key Accountabilities
Talent Acquisition and Stakeholder Management
- Advise, coordinate, and conduct recruitment and selection processes across RMIT Vietnam, ensuring the right skills in the right place, at the right time. Components of the recruitment process include advertising, pre-screening and selection, interviewing, aptitude and reference checking, offer and onboarding.
- Develop candidate pools of relevant candidates through networking and research so that efforts are not limited to job sites, employment agencies media, and internet sites and that more innovative ways to recruit, are considered.
- Ensure the effective use of all roles on the RMIT E-Recruitment system; assist and guide Hiring Managers on using the system.
- Build and maintain excellent relationships with key stakeholders across the business; advise and guide on recruitment ‘best practice’ positively influencing recruitment outcomes to ensure top talent is recruited to RMIT Vietnam.
- Ensure hiring managers and candidates understand the salary options, benefits, and employment terms and conditions.
- Work collaboratively with other HR staff to ensure employment offers and other HR administration are completed accurately and in a timely manner.
- Continuously review recruitment, selection, and onboarding processes and suggest ways in which these can be improved.
- Work collaboratively with other HR staff to ensure employment offers, contract and related documents and processes are adhered to effectively.
- Contribute thought leadership on talent acquisition and mobility processes and programs, such as best practices trends, benefits, and benchmarking; Identify opportunities for process improvement, cost savings, capability enhancement and process and policy gaps, drafting of policy and process revisions and assist with the implementation of new or revised programs.
Reporting
- Provide advice and support relating to applicable recruitment regulatory requirements and compliance.
- Support analysis and reporting on different recruitment metrics including but not limited to sourcing channels, recruitment pipelines, onboarding, etc.
- Contribute to budget planning activities and workforce planning projects as required.
Key Selection Criteria
- Bachelor degree qualification in field relevant to Human Resources.
- At least three years of recent experience in recruitment or HR related field, including recruitment or day to day provision of HR services within medium to large international organisation.
- Demonstrated experience in ‘best practice’ recruitment including advertising, pre-screening and selection, interviewing, aptitude and reference checking, offer and onboarding.
- Ability to provide innovative resourcing solutions to key clients across the organisation.
- Team player with a strong customer service focus.
- Prior working knowledge of Vietnamese work permit application process is desirable, as is prior experience of recruitment of expatriate staff.
- Innovative approach to advertising across a range of different mediums, such as job boards, magazines, journals, Facebook etc.
- Well-developed interpersonal skills, including coordination, liaison, negotiation, and multicultural communication.
- Keen attention to detail with ability to manage own time well, and prioritise competing work demands, effectively.
- Excellent verbal and written communication skills in English and Vietnamese with a wide variety of stakeholders.
- Demonstrated ability to work with confidential information.
- Demonstrated superior knowledge and experience in using computer software such as Microsoft Word, Excel, Power Point and Access.
English Proficiency
English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS (General) with a score of at least 6.5 or 170 in Linguaskills.
