The Opportunity
Are you a highly organised and professional looking to make a significant impact in a dynamic research environment? Western’s NICM Health Research Institute is seeking an Executive Assistant/Project Officer to provide high-level executive support to our Director, Executive team, and overall Institute operations. This pivotal role is essential for optimising the Director’s effectiveness in meeting strategic objectives.
You will be responsible for managing diaries, handling correspondence, coordinating events, and prioritising critical operational tasks, all while maintaining the Institute’s professional image. You will also support HR-related activities, prepare materials for presentations, manage email inboxes, facilitate communication with stakeholders, and provide secretarial support to visiting scholars. Additionally, you will be involved in providing support with preparing grant applications, maintaining financial processes, assisting with research-related documentation and reporting, and supporting various administrative tasks.
The Executive Assistant/Project Officer will actively participate in planning and executing events, conferences, seminars, and workshops, ensuring smooth project delivery in collaboration with internal and external partners.
This is a full-time, fixed-term opportunity for 2 years based at Westmead Campus, although travel to other campuses of the University may be required. Please review the position description for further information.

You are a highly qualified professional with experience supporting senior executives in fast-paced, high-volume environments. Your exceptional interpersonal, verbal, and written communication skills enable you to draft and proofread documents with precision. You are adept at maintaining discretion and confidentiality, especially when working with individuals from diverse backgrounds and cultures. Your organisational and time management skills are highly developed, allowing you to efficiently handle competing priorities, and adapt to unexpected events. Additionally, you possess strong analytical and problem-solving abilities, enabling you to exercise initiative and make independent decisions confidently.

Remuneration Package: HEW Level 6 $110,472 to $118,410 p.a. (comprising Salary of $93,350 to $100,058 p.a., plus Superannuation and Leave Loading)
