About the Role
The Administrative Assistant will provide high-quality administrative support to the Health Service Administration Lead and the broader Health Service team. Key responsibilities include medical reception, registering and billing patients, supporting doctors, maintaining patient databases, and overseeing financial management, all while ensuring efficient and professional service delivery. The role requires strong customer relations skills, independent judgment, and the ability to work collaboratively within a dynamic environment, fostering effective relationships with colleagues and stakeholders to meet the needs of individuals seeking medical assistance.
Your responsibilities will include:
- Ensure adherence to University and Health Service policies while providing timely support to individuals at the front counter, including effective triage in emergencies.
- Offer guidance to agency and students@work staff to maintain a high level of service and foster a harmonious work environment.
- Minimise waiting times for patient registration and consultations by efficiently monitoring bookings and processing payments.
- Utilise medical software for accurate patient data management and support the nursing team with sensitive health information entry, while maintaining proficiency in Microsoft Office applications for communication and reporting.
Who we are looking for
You will be an effective team player with strong communication and negotiation skills, able to engage sensitively with a diverse range of individuals. You will demonstrate initiative and a collaborative spirit within a small team, manage sensitive information professionally, and possess problem-solving abilities to address enquiries while working under routine supervision.
You will also have:
- Experience as an Administrative Assistant, preferably in a medical practice using computerised appointment and medical management software, including Best Practice Software and experience with Medicare.
- Proficiency in Microsoft Word, Excel, and Outlook, along with strong computer literacy skills.
- Knowledge of financial functions, including GST application, invoicing, receipting, and reconciliations, as well as experience handling EFTPOS machines.

This role requires the successful candidate to undergo and maintain an up-to-date Working with Children Check. This is essential to guarantee a secure environment for all individuals at the University. In the case the selected candidate doesn't have a valid Working with Children Check, they will be able to apply for the WWCC as part of the initial onboarding procedures.
