About This Opportunity
An exciting part-time (60%) job share opportunity is available to collectively manage the efficient operation and promotion of the School’s research administration office, especially regarding pre- and post-award administration of research grants. The position supervises the Senior Research Administration Officer and works closely with the Deputy Head of School (Research) and School Manager to provide high level administrative and project management support to achieve desired outcomes for research in the School.
Key Responsibilities Will Include:
Strategic Support
- Lead and manage the Research Administration Office within the School
- Provide strategic support and advice to the Deputy Head of School (Research)
- In consultation with the Deputy Head of School (Research), Head of School, and other key stakeholders, develop and maintain school policies, research operational plan, guidelines and procedures in relation to research activity and research administration within the School.
- Maintain an expert understanding of the School’s research activities, its strategic objectives, as well as external research issues including University and external initiatives.
- Maintain an expert understanding of research funding issues to maximise the take-up of opportunities, including expertise in the rules and procedures applicable to external funding agencies.
- Develop initiatives to promote the School’s research output and to assist researchers to target appropriate funding schemes.
Research Administration
- Through management of the School’s Research Administration Office, advise and assist school staff in the writing and submission of research grant applications, to ensure compliance with scheme guidelines and high-quality grant preparation.
- Manage the research administration team within the School, including performance and workload management, staff training and undertaking annual performance appraisals.
- Develop processes to maintain accurate records of grant application activity to enable tracking and internal reporting.
- Support and assist researchers in drafting research budgets and applying for ethical clearance.
- Coordinate the promotion of funding opportunities and other research related events to the School and coordinate school workshops.
- Coordinate Head of School/Deputy Head of School (Research) sign-off on grant applications and School cash co-contributions.
- Manage and oversee seminar coordination for the School.
- Support the Research Administration Officer with their duties as Secretary to the Research Committee, including when necessary, drafting agenda and minutes and preparing documentation required by the Committee for the assessment/ranking of grant applications.
- Maintain the research administration content on the School’s internal website and ensure that academic staff profiles on UQ Researchers are visible, complete and current.
- Liaise with key personnel within the School, and in other sections of the University, on School research matters to co-ordinate pre- and post-award grant administration.
- Prepare analyses of the School’s research performance using data from the Reportal and internal tracking spreadsheets, including reporting on application success rates.
- Draft correspondence/submissions/reports on research matters for the Deputy Head of School (Research) and Head of School as required.
- Assist EAIT Finance with administration of research budgets and provide support to ensure appropriate research income credit splits and recovery of indirect costs are considered and applied.
- Actively participate in research-related Communities of Practice, such as the UQ Research Administrators’ Network, to co-develop and share relevant information and strategies with ITEE researchers.

About You
A degree plus at least four (4) years subsequent relevant work experience or an equivalent combination of relevant experience and/or education and/or training.
Experience in an area of research administration in a university.
Knowledge and understanding of policies and procedures relating to research and general administration in the tertiary education sector and external funding agencies, or the ability to rapidly acquire this knowledge.
Excellent organisational and problem-solving skills and attention to detail.
High level analytical, interpretative and research skills including database administration and compilation of statistical information relevant to research.
Demonstrated ability to set own priorities, monitor work processes, meet regular deadlines, and work both independently and collaboratively as part of a busy team.
High level of interpersonal, written, and oral communication skills, able to exercise tact and good judgment, and to negotiate with a range of individuals including senior staff of the University.
Demonstrated commitment to the provision of high-quality customer service.
Desirable
Knowledge of the tertiary research environment and of the processes involved in the publication of academic journals, including reporting requirements.
The successful candidate may be required to complete a number of pre-employment checks, including: right to work in Australia, criminal check, education check etc.
