The Role
We are seeking an organised and proactive Administrative Support Officer with skills in executive support to provide the My Mind Check team with operations, project and executive support. Reporting to the Operations Manager, My Mind Check, you will:
- Provide general and transactional administrative support to staff for all VMHCT project operations.
- Provide administrative support for the broader VMHCT project leadership team, including the Director and stream leads as required, including diary management, logistics, room bookings, travel, events, material preparation and/or other administrative activities.
- Coordinate and participate in relevant committees and meetings including scheduling meetings, preparing agendas, minutes, and any follow up actions as required.
- Provide administration support and work with relevant stakeholders to update and maintain SharePoint sites and websites as required.
- Assist with the design, development and implementation of improvements to administrative systems, processes and procedures as required.
About You
You will be an enthusiastic, detail focused individual with strong organisational and communication skills. You will possess time management skills and the ability to manage competing priorities. You will be proficient in Outlook, Word, Excel and comfortable with finance systems such as Basware Purchase to Pay and Concur. Your previous administration experience in the health or education industry is considered highly desirable and your ability to proactively identify day-to-day administrative problems and process solutions will set you up to succeed in this role.

The Voluntary Mental Health Check Tool (VMHCT) Project is dedicated to supporting the mental health and well-being of school students through a digital assessment tool. The project collaborates with experts, educational departments, and various stakeholders to ensure the tool meets the needs of Australian schools. The "My Mind Check" tool helps schools identify students at risk and provides recommendations for care.

- Qualification in administration, business or finance, or relevant qualification and/or equivalent experience.
- Intermediate skills in Microsoft office and experience with database management systems and financial applications, including in invoicing and credit card reconciliation.
- Excellent time management and organisational skills.
- Experience in providing general and personal assistant administration in a complex environment, preferably in education or health.
- Proven ability to coordinate multiple activities with minimal supervision while delivering to tight timeframes.
- Ability to collaborate with other teams, working with a diverse group of stakeholders.
- Strong problem-solving skills and the ability to manage multiple tasks efficiently while maintaining exceptional attention to detail.
- Demonstrated ability to work autonomously and collaborate effectively with other teams.

This position requires a criminal record check and a Working with Children Check. Working hours may also vary from time to time to accommodate business needs.
