1. Provide quality advice, timely responses, complex issue resolution and case management to families/guardians of RMIT current students, including families/ guardians of local and international students in accordance with University policies and processes. Support families in navigating University resources through the approved communication channels.
2. Coordinate with the Academic Registrar’s Group and the Legal team in the development and update of policies and processes relating to families, including privacy release, unsatisfactory academic progress, third-party complaints, student billing, etc.
3. Coordinate with a wide range of internal stakeholders to provide clear and timely responses to family enquiries. Maintain broad familiarity and timely updates on knowledge about relevant University areas so that related family enquiries can be addressed accurately and transparently.
4. Master RMIT student record system, administrative systems and service management platform to perform case management.
5. Work closely with Student Connect Student Advisors and Senior Student Advisors to manage related student-family enquiries.
6. Receive feedback from families and provide it to relevant University stakeholders, including Academic Schools, student services and Operations Portfolio. Provide the Manager, Family Connect and the Coordinator, Family Support with family enquiry and feedback patterns for recommendations to address them with proactive family communications and engagement efforts.
7. Make referrals to Academic Registrar’s Group Third-party Complaints in accordance with the Third-Party Complaints Procedure.
8. Actively contribute to the design and implementation of the family support program including communications, events and activities (Family Day, Family Weekend, Parent and Family Orientation/ Welcome Event, etc.)
9. Lead or participate in team projects to enhance the experience of families.
10. Actively contribute feedback and improvement suggestions to the review of administrative processes in Family Connect team meetings or cross-unit discussions. Demonstrate the student-centered and innovative approach to continuously creating unique student and family experiences and innovations.
11. Perform other tasks as assigned by the Manager, Family Connect.
Requirements
1. Bachelor’s degree in a relevant discipline.
2. At least 2 years of experience in a customer service role where the expectation was to deliver high levels of customer service across a broad range of service areas, preferably in an educational environment.
3. Demonstrated ability to deal with sensitive and challenging situations in a professional and diplomatic manner; Ability to perceive and manage the emotions of one's self and others.
4. Demonstrated complex issue resolution and decision-making skills, including the ability to source relevant additional information.

Responsibilities
Arrange and schedule Program-specific meetings and Program areas correspondence in a timely manner.
Maintain accurate records on course and program administration, particularly for the purposes of program accreditation.
Provide guidance and support to SSET students on any issue raised and/or arrange meetings with appropriate academics or persons at other university support services. Advice and information provided to students are current to the relevant university global policy and local and global procedures. (E.g. assessment policy).
Travel arrangements: organize all work travel arrangements for staff within the program, including itineraries, airfares, accommodation, and transportations.
Support School Manager in terms of contract preparation, purchasing documentation, identification of, and negotiation with preferred service providers and vendors.
Support effective communication between relevant SSET staff at RMIT Vietnam and RMIT Melbourne.
Follow University policy to procure office consumables/equipment, process payments and design/print materials.
Coordinate the annual budget development within the office and support in tracking and accrual of expenses.
Contract negotiation, especially in facilitating contract negotiation and execution for research collaborations, consulting agreements.
Provide financial admin support including monitoring research budgets, track expenditures, and assist in financial procedures with funding agencies and university management.
Other duties as requested by the School Manager.
Requirements
A relevant bachelor’s degree
At least one year of experience in a similar customer services-related role.
Familiarity and working knowledge of finance-related admin work are essential for this position.
Familiarity or working knowledge of developing and managing promotional and/or marketing-related materials and activities.
Experience in providing financial management support upon request.
Excellent interpersonal skills, including cross-cultural communication.
Demonstrated ability to work with confidential information.
Experience in managing purchasing, developing budgets, financial reporting is desirable.
Experience in writing reports for executive management is desirable.

Plan, implement and manage a strong presence for School of Science, Engineering & Technology on digital communication channels.
Update and manage media-rich micro-sites about SSET websites, programs, student work, alumni, events and other relevant.
Create and curate engaging content aligned with key content pillars to focus groups which include parents, students, industry, alumni, media, etc. to publish on various digital channels that would highlight the School’s brand.
Manage the distribution of content through the university’s established online channels and traditional platforms.
Analyse the effectiveness of communication campaigns on digital channels to optimize the SSET’s presence on these channels.
Research, understand and respond to industry trends, audience segments and their behaviour and motivations.
Liaise with Program Managers and the SSET Event Team and other internal and external stakeholders in order to promote activities, events and news concerning the School, student, alumni and industry partners.
Organise and manage a media content database.
Create designs, concepts, and sample layouts based on knowledge of layout principles and aesthetic design concepts.
Source, develop and design a diverse range of content including text and visuals to be used across internal and external online and traditional communication channels and ensure the style and clarity is consistent with the RMIT brand.
Create templates that support the correct application of brand elements across all communications and promotional campaigns.
Plan and oversee the media production to serve the communication activities, which includes photography, story board and video script development, filming & video editing.
Manage the production of printed collaterals and/or design projects to ensure delivery is on time and within budget. Make regular report on production progress to the Senior Coordinator, Events and Communication.
Perform general quality assurance for visual impact and contents of the projects.
Manage key images to ensure brand attributes are communicated effectively within the constraints of the RMIT Brand.
Collaborate with the Marketing team, Comms team and other stakeholders to produce design solutions to communicate client messages with high visual impact for print/web/design projects.
Carry out or support other duties as directed by the Senior Coordinator, External Engagement & Events.
Requirements
Bachelor degree in Design, Communications or Digital Marketing
At least 2-3 years’ experience coordinating the production and design of a range of marketing materials.
Demonstrated experience in implementing print design, video clip production, web design and other online marketing materials.
Substantial experience leading the implementation of cutting-edge integrated marketing communications and creative web and graphic design consistent with re-branding and corporate guidelines with major software programs for Macintosh computers (MS Office, Adobe Creative Suite incorporating Photoshop, Illustrator, Indesign, Adobe Premiere and Acrobat).
Extensive knowledge in graphic and web design with strong abilities to develop successful campaign concepts that represent RMIT brand values and creative outlook.
Experience with audio-visual equipment used to capture content for use on online platforms
Proficient in English and Vietnamese, good copy-writing skills
Independent learning and working attitude in handling print projects and assisting in web and publication execution.

Requirements
A minimum of 2 years’ experience in marketing, community building, customer service, or customer relations.

Experience in database management for CRM and prospect profiling.
Knowledge of Microsoft Word, Excel, PowerPoint, and digital platforms like Mailchimp and Facebook manager is a plus.
Experience in monitoring campaigns on social networks and working with educational alumni groups is preferred.
