Responsibilities
Plan, organise, and oversee a variety of donor-focused events, such as campus tours, VIP dinners, graduation activities, and other special events to enhance donor engagement.
Develop and deliver compelling donor communications, including student introduction letters, videos, stewardship emails (eDMs), impact reports, and other personalised content that highlights the impact of giving.
Collaborate with the Donor Relations Manager to create and execute key program elements, including the dKin Difference annual publication, milestone giving acknowledgments, and tailored stewardship activities across diverse donor segments such as principal gifts, major gifts, bequests, workplace giving.
Cultivate and maintain strong relationships with a wide range of stakeholders, including students, academic staff, and external partners, to enrich the donor experience and support the University’s mission of impact and engagement.
Maintain accurate donor engagement records using the Deakin Advancement CRM (Deakin Blackbaud ARMS) to ensure timely and effective tracking of donor interactions, while providing administrative support to enhance overall donor experience goals.
Prioritise tasks and critical activities, evaluate progress, and overcome barriers to achieve desired outcomes, while proactively seeking improvements and incorporating feedback from colleagues and stakeholders.
Actively support team members to facilitate and foster a collaborative and inclusive work environment while offering guidance across teams.
Build strong, respectful relationships with internal and external stakeholders, demonstrating an understanding of how different areas of the University interrelate and how your role contributes to the broader mission.
Adapt positively to change and manage stress, leveraging self-awareness and feedback to improve personal impact and emotional well-being.
Seek to understand and respond to donor feedback, ensuring follow-through on commitments and building productive relationships to enhance service and support across diverse stakeholder groups.
Requirements
A degree with subsequent relevant experience, or an equivalent, combination of relevant knowledge, training and/or experience.
Experience in a fundraising environment.
Experience with Donor, Alumni, Student, Customer or similar client relationship management databases.
Experience in event management including preparation of high-end documentation to deliver events such as comprehensive event briefings, orders of proceedings, speaker request forms and critical paths.
Experience working in an environment which dictates high standards of project management.
Experience/proficiency in Excel (data handling) and InDesign (essential).
Experience working in higher education or in a larger complex organisation (preferred).

Responsibilities
Design and implement activities and events that support COM’s mission including: Leading development of signature events for the college including but not limited to the UNE COM White Coat Ceremony, Alumni Weekend, and all alumni events at regional and national professional organization meetings.
Planning, organizing, and executing all aspects of UNE COM Fourth Year celebratory experiences, including but not limited to Match Day, Senior Week, and Graduation related events.
Represent the COM at monthly UNE COM Alumni Association meetings and serve as support staff for UNE COM Alumni Association.
Oversee UNE COM alumni mentoring events and programming, including but not limited to speed networking, alumni & student receptions, and Reunion Weekend.
Oversee organization and annual implementation of Alumni “life mentor” program.
Work with clinical education on student-recent graduate partnering for residency advising.
Plan, supervise, coordinate and perform a wide range of staff support functions in collaboration with the Staff Assistant related to medical student clubs and organizations.
Oversee the training and supervision of student club and organizations leaders.
Support students in the coordination for arrangements for all necessary support services and facilities.
Administer and oversee the operating budgets of assigned functions, including all student clubs and organizations.
Develop and modify programs/operating systems in response to student needs and institutional objectives.
Collaborate with offices to ensure consistency and quality communication efforts.
Provide on-campus presence and interact with COM students and alumni at major events to encourage engagement and connection.
Create and oversee the strategic development and assessment of all office communications ensuring compliance with the University’s Brand Identity Guidelines and communication policies.
Plan, design, and write content for alumni-focused communications — electronic, print or social media as appropriate and warranted.
Develop and execute alumni-focused surveys.
Stay updated on current developments in Student Affairs in higher education as well as Medical Education and related support areas.
Attend various professional meetings and conferences.
Supervise staff assistant or coordinator as appropriate.
Assist the Associate Dean of Recruitment, Student & Alumni Services in developing and administering other COM student services programs as assigned.
Perform other related duties as assigned to meet Department, College and University goals and objectives.
Requirements
Bachelor’s degree, with Masters preferred, plus at least three years to five years of highly responsible administrative /coordinative experience or a combination of education and experience from which comparable knowledge and skills have been acquired.
In-depth experience in a medical school or related setting that would provide one with significant knowledge of medical education, is preferred.
Ability to deal effectively with prospective and current medical students, pre-med and other college advisors, UNE COM faculty/staff/alumni, and others.
Well-developed administrative and organizational skills that will enable individual to handle demanding, high volume, diverse workload.
Ability to relate well with others and perform duties with a high degree of integrity, confidentiality, and adherence to professional ethical standard.
Well-developed skills in public relations and conference/event planning and execution.
Well-developed skills in word processing, database development and management.
Ability to regularly work evenings and week-ends as needed.
Preferred: Knowledge of HIPAA, FERPA and other key practices
Knowledge of iModules, Banner and other University software
